Booking Procedure
Please note that the procedures and information set out below form a part of our booking conditions, full details of which can be seen under 'Booking Conditions'.
Browsing our Web Site
On this web site we aim to provide as much information as possible for you to make the right holiday choices for your next villa or hotel holiday. Despite this, we do not make bookings on line, as we would like you to talk to our knowledgeable villa consultants so that we can be sure that you have chosen the property that will match your holiday requirements. You can check property availability on line on this site, but we believe that as a villa is such a very personal holiday choice you need to talk to us before booking.
Checking for Availability
Once you have chosen your villa, and are ready to make a booking, please telephone us on 020 7401 1083 for France, Portugal and Spain, 020 7401 1086 for Italy and 020 7401 1088 for the Caribbean, Oman, South Africa and Mauritius and we will reconfirm availability. We can hold an option on your accommodation, which will automatically be released if we do not hear from you within 48 hours. If you are booking for a period when accommodation is in high demand, we may not be able to hold an option and will ask for your credit/debit card details to hold against the booking (see Confirming your Booking below).
To Confirm your Booking
Please note that your booking and contract will be with CV Travel, parent company of Owners' Syndicate CV Ltd. We will ask for your credit/debit card to guarantee the booking, which will mean that you will have entered into a verbal contract with us. Therefore our Booking Conditions will apply (See the section on this web site), provided that we are able to provide final confirmation of arrangements as per your instructions. We will then proceed with all arrangements whilst you sign the booking form and send it to us with your deposit, you can download the Booking Form from this site, or we can send you a copy.

The deposits payable are as follows:
1. Villa Rental Only Holidays
Villas in France, Portugal and Spain: 25% of the total villa price, or the full amount if booking within 9 weeks of departure.
Villas in Italy: 30% of the total villa price, or the full amount if booking within 9 weeks of departure.
Villas in the Caribbean, Oman, South Africa and Mauritius: 30% of the total villa price, or the full amount if within 9 weeks of departure.
2. Flight Inclusive Holidays
Villas and Hotels in the Caribbean, Oman, South Africa and Mauritius: 30% of the total villa price including flights, or the full amount if within 9 weeks of departure.
Please make sure we receive the booking form within 5 working days of your verbal agreement to proceed. If we do not receive your booking form and payment within this time, we will automatically debit your credit or debit card in accordance with the payment due.
If you are paying your balance by credit card please note that we make a 2% surcharge for credit card payments (Visa/MasterCard/Amex), as we have not included the commissions charged by credit card companies in our prices. There is no charge for payments by debit cards.
Special Requests
Please advise us in writing of any special requests that you may have in connection with your holiday. We will pass your requests on to the relevant supplier but regret that they cannot be guaranteed in any way. It is essential to inform us of these special requests at the time of booking as often certain items are limited in availability and may not be available if you leave it too late. On Receipt of your Booking Form
Once we have received your booking form and deposit payments we will issue you with a Confirmation Invoice within 7 days, detailing all the arrangements we have booked for you, and insurance cover if applicable. Once this Confirmation Invoice has been issued, the booking is regarded as confirmed and the contract for your holiday is established. On receipt of your confirmation invoice, please check it immediately and advise us of any errors. Please always quote your booking reference and date of travel when telephoning or with any correspondence or payment.
Amendments to your Booking
Please note that a charge of £25 will apply for any amendments, together with any expenses levied by any other company affected by the amendment (for further details, please see our Booking Conditions on this site).
Final Payment
Your security deposit (see below, if not payable locally) and final balance are payable 9 weeks before your departure. You will be sent a reminder 11 weeks before departure if your balance is still outstanding. If you are travelling within 9 weeks, full payment of all charges is payable at the time that you confirm your booking.
Security Deposit
A security deposit is required to be held by us against any unpaid local accounts or damage to the villa which may be incurred. These deposits range from £100-£2000 depending on the property and the precise amount and payment procedures are detailed on the pricing pages of the villa descriptions on this web site.
Your security deposit can be paid in the following ways:
i) By Credit Card - we ask you to sign a credit card authorisation, on our booking form, which will allow us to deduct any notified charges from your credit card.
ii) Paid Locally (Villas in Europe only) - the security deposit is payable on arrival at your villa in Euros. The security deposit less any charges as applicable will be refunded to you in Euros at the end of your holiday.
Release of Security Deposits
i) Holidays in Europe - If you have pledged the Security Deposit by credit card authorisation, this will be cancelled as soon as we have received the advice that no charges are due.
ii) Holidays in the Caribbean, Oman, South Africa and Mauritius - it can take up to 6 weeks for us to be advised by the villa manager or owner of any charges that need to be made and your deposit will be returned as soon as is possible if you have paid by cheque, or your credit card authorisation cancelled if there are no deductions to be made. In the case of villas in the Caribbean it can take up to 3 months to obtain clearance, particularly if the use of a telephone in the villa is involved.
We ask you to settle locally any damages, breakages or losses if at all possible, as it will enable us to avoid having to make an administration charge of £25 per claim to cover our expenses.
Please note that we are unable to intervene in disputes in respect of claims on security deposits as we are bound by contractual terms to collect them on behalf of our Owners. In the event of a dispute, however, we will retain the disputed amount for a period of no longer than one month to allow you to negotiate with the claimant.
Holiday Documentation
Approximately 2 weeks before departure, all Travel Documents, Route Directions, Vouchers for car hire and our Travel Notes will be sent to you. On receipt please check all your documentation carefully. Final documentation will not be sent unless full payment has been received, and we have full details of your flight arrangements if you are only booking a Villa Rental Only holiday through us.
